What We’re Looking For

Responsibilities:

  • Participate in site operational improvements

  • Responsible for coordinating office moves, expansions and upgrades involving working with contractors, coordinate the negotiation of costs, coordinating space, furniture, computers, etc.

  • Perform administration tasks for CEO and CPO; managing agenda, signatures and travel arrangements

  • Oversee operational contracts (i.e. janitorial, Aramark, insurance, equipment leases, FedEx, etc.)

  • Assist in facilities agreements, local and national permits and business licensing

  • Act as a liaison to our legal team concerning D&O insurance.

  • Maintain company badge access and alarm codes and work with facility property manager with any issues concerning the business

  • Partner with HR for onboarding and off boarding employees in the areas of software tools administration (i.e. GSuite, JIRA, Box, Microsoft 365, Slack, etc.) badges, software access, hardware purchase, and company phones (if applicable)

  • Travel arrangements for employees and visitors (local and International)

  • Respond and maintain our internal ‘admin’ email for customer support and wait-list product emails, etc.

  • Maintain online orders for purchasing using our purchasing spreadsheet and internal ERP system for materials and products for the business

  • Oversee monthly expenses and processing

  • Other duties as assigned

Requirements:

  • 5+ years of solid administration, inventory and/or purchasing experience

  • Experience and track record of managing multiple tasks with an operational and facilities mindset

  • Strong data analysis skills

  • Familiarity with desk top software such as MS Office, MES, LIMS, Google Sheets

  • Energetic and positive disposition

  • Experience in IVD/Med Device industry is a plus

  • Exposure into Accounting a plus

  • BA/BS Degree

  • Willingness to learn new tasks and thrive with working in a high volume and evolving environment
